Managing Phases & Statuses

Track and manage the lifecycle of students to proactively track progress, identify at-risk individuals, and deliver targeted, timely interventions.

Managing Phases

  1. On your computer, go to your Account
  2. Click Settings (gear icon).
  3. Click Status and Phase.
  4. On the right side, enter a phase name in the input field, e.g. "Hot Lead", "Warm Lead", etc. Click Add Phases.
  5. To edit a phase, click the kebab menu then select Edit and make changes in the input box then click Update Phases.
  6. To delete a phase, click the kebab menu then select Delete. Click Delete to confirm deletion or click Cancel to cancel removal.

Managing Statuses

  1. On your computer, go to your Account
  2. Click Settings (gear icon).
  3. Click Status and Phase.
  4. Click + Add a Status.
  5. Select the preferred Phase from the drop-down menu.
  6. Enter a Status Name.
  7. Optional: enter a description to communicate the program to your staff.
  8. To edit a status, click the kebab menu then select Edit. Make changes then click Edit.
  9. To delete a status, click the kebab menu then select Delete. Click Delete to confirm deletion or click Cancel to cancel removal.

Assigning a Phase & Status

  1. On your computer, go to your Account
  2. Click Contacts.
  3. Use the Search Contacts bar to find the preferred profile.
  4. Click on the specific contact name to open their form.
  5. Select the preferred Phase from the drop-down menu.
  6. Select the preferred Status from the drop-down menu.
  7. Scroll to the bottom of the form and click Update.

Common Questions & Troubleshooting

What are contact types?

A contact type is a classification label used to facilitate better filtering, reporting, and targeted communication. The contact types are:

  • Lead: new contact without an active plan
  • Member: new or long-term student with an active plan
  • Trial: new or short-term student with a limited active plan
  • Former Member: old contact with an expired or canceled
  • Frozen: short or long-term member with a paused plan

Contact types change automatically based on activity. Use types to filter your contacts and find leads, paying members, paused accounts, and former members.
